POW Timesheets – How do I complete my timesheet?

For all Nursing, Midwifery, and Allied Health Programmes

To complete your timesheet, please log in to the Placements on the Web system (POW)

Once you have logged in, you will see your home page with a record of your past and present placements. In order to complete a timesheet for a placement, follow the below steps:

1. Select the binoculars icon to the left of your placement name

2. This will open a new page, along the top of this page there will be a tab entitled “Your Timesheets”. Select this tab.

3. This will open another new page, with a grid containing each week you are due to be on placement. 

4. To add hours to a time sheet, please select the edit function beside the desired week

5. Whilst in edit mode, you will see an orange button entitled “Add Mentor”. You cannot submit a timesheet without adding a mentor. 

6. Please select this “Add Mentor”. You will be led to a drop-down list, where you can select your mentor. If your mentor is not on the list, simply select “New” - this will provide you with the option to add your mentors name and email address. 

7. Whilst in edit mode, you may add or amend time for the selected week. Select edit next to each day and using the entry boxes provided, please add your start and finish time, record the hours worked and any breaks (for further guidance see POW Timesheets – How do I record my worked hours and breaks)

8. If you have been absent during your placement, you can check the provided tick box under the absent column, and using the drop-down list under absence reason you can specify the reason for this absence

9. If you have made up time during your placement, please find the blue hyperlink entitled “Click here to expand the block for Adding MADE UP TIME”. This will open a new box for adding made-up time.

10. Once you are confident that the timesheet you have completed is correct, you may select the “Submit Timesheet Electronically” button. This timesheet will then be sent to your supervisor for approval. This is the recommended option for submitting your timesheet.

11. There is also an option to “Submit Paper Timesheet”, should you choose to select this option you will be given the opportunity to print your timesheet. Once printed you may provide this to your supervisor to sign by hand. To submit this, you must scan the signed timesheet onto a computer and forward to the allocations officer applicable to your branch.
